The Position
As an Advocacy Programs Project Coordinator, you will keep our large client projects on-task and top quality. The ideal candidate is highly organized and motivated. They thrive in a fast-paced environment, are quick on their feet, and are a “make things happen” kind of person. They are obsessed with managing multiple projects and deadlines and find joy in solving how to get it all done and resourced on time. They have a deep curiosity, strong listening skills, empathy, and ability to get things done in a collaborative, small-team environment. They have a generous mindset that supports team members and clients and wants to see others around them succeed. And most importantly, they are a collaborator who wants to help design and define processes that help Captivate stay on top of our game and make an impact within the organization.
Your Responsibilities
- Coordinate project schedules, resources, and information
- Primary liaison with clients to identify and clearly define project requirements, scope and objectives
- Ensure that clients’ needs are met as the project evolves
- Create project plans and break down projects into doable actions and timeframes
- Monitor project progress and handle any issues that arise
- Serve as primary point of contact and communicate project status and updates to all participants and stakeholders
- Use tools to monitor project hours, plans and expenditures
- Create and maintain comprehensive project documentation, plans and reports
Your Qualifications
- Proven work experience as a project coordinator or similar role
- Experience in project management, from conception to completion
- Experience working in or with B2B organizations
- Strong organizational skills, including multitasking and time management
- Client-facing and teamwork skills
Bonus skills
- Hands-on experience with Asana (or other project management tools)
- Familiarity with Hubspot, Slack, and G-Suite
- Developing copywriting and creative design skills
- Familiar with (and love) the field of customer advocacy, have prior experience with marketing programs or have previously worked at an agency

What we're paying
$60k - $70k CAD (dependent on experience)
